LEGAL BASIS FOR PROCESSING

We process personal data exclusively on the following legal bases:

For order processing, delivery of goods, invoicing, and customer service.

For tax retention obligations and administrative obligations.

For relationship management, direct marketing to business customers, website security, and optimization. Hewa primarily processes business contact details of employees of installation companies and other business relations in the context of professional services.

PURPOSES OF PROCESSING

We process personal data for the processing and delivery of orders, invoicing and payment processing, customer and relationship management, sending newsletters, improving our website, marketing and product information, compliance with legal obligations, and security of our systems.

RETENTION PERIODS

Hewa does not retain personal data longer than necessary for the purpose for which it was collected.

We retain invoice and financial data for 7 years in accordance with tax obligations.

Account data is retained for as long as the account is active.

Quotation requests are retained for a maximum of 2 years.

Newsletter data is retained until the moment of unsubscription.

Website analysis data is retained for a maximum of 26 months.

After the retention period has expired, data is deleted or anonymized.

SHARING DATA WITH THIRD PARTIES

Hewa does not sell personal data to third parties. Data is only shared with parties that are necessary for our services, such as IT service providers, hosting providers, CRM and ERP software suppliers, accounting software, payment service providers, marketing platforms, and Leadinfo B.V.

We enter into processing agreements with these parties to ensure an appropriate level of security.

ZOHO ERP AND CRM

Hewa uses Zoho for customer management, quotation processing, order processing, invoicing, and support registration. Data entered via our website, such as via contact forms or account registration, can be automatically stored in our Zoho environment. A processing agreement has been concluded with Zoho.

GOOGLE ANALYTICS

We use Google Analytics to analyze and improve the use of our website. Google Analytics processes data such as anonymized IP addresses, visit duration, page views, click behavior, and device data.

We have set up Google Analytics in a privacy-friendly manner. IP addresses are anonymized and data sharing is limited. A processing agreement has been concluded with Google.

INTERNATIONAL TRANSFER

If personal data is processed outside the European Economic Area, we provide appropriate safeguards such as Standard Contractual Clauses or processing within countries with an adequacy decision from the European Commission.

COOKIES
